Our partnership with Workday has seen tremendous growth in the past year with over 150 joint customers. As a preview of how our joint DocuSign-Workday solution has helped customers, we’d like to showcase a customer story: Procore Technologies, a hypergrowth software company that’s using the integration to help scale their HR operations. Below is their journey.

Procore Scales with DocuSign & Workday

Founded in 2002, Procore is a leading construction management software company headquartered in Carpinteria, CA. Their award-winning cloud software allows project teams of construction companies, property owners, project managers, contractors, and partners to collaborate on construction projects and share access to documents, planning systems and data.

The company has been in hypergrowth, expanding from one US office to now 11 global locations with over 1,200 employees as of Q3 2018. In order to continue supporting the company’s growth, the business systems team knew that it had to invest ahead of the curve in its HR systems to support the headcount growth. Hence Procore decided to implement Workday in Oct 2017 to streamline HR processes and manage staff.

The Onboarding Opportunity

The business system leadership team decided early on that they wanted to invest in solutions that’d help them scale. In their minds, if “you don’t streamline processes early on, you end up with more work and the need to hire more people to accommodate the extra work.”

The need to better streamline new staff onboarding was quickly identified. At the time, Procore was already hiring approximately 20 people every two weeks (and sometimes even 40-50 people). But the onboarding process was a manual and paper-driven where HR staff had to type in employee information by hand, which was prone to errors, and printed packets of documents for wet signature.

The Digital HR Solution

Implementing DocuSign for Workday became a quick win for the business systems team to remove these manual and paper processes.

Procore implemented DocuSign for Workday in less than one week to support the use case of new hire onboarding. Forms such as legal release documents, site-specific requirements, or state specific documents are all routed through DocuSign within Workday. Employee details such as name, address, titles, etc. are automatically pulled from Workday and populated onto a DocuSign enabled form for e-signature and routing. All within Workday. No more manually typing, no more printing or scanning. 

Resulting in 100% Automation

  • Achieved 100% automation around onboarding paper in less than 1 week
  • Expanded onboarding paperwork with DocuSign as HR required with minor system configuration changes
  • Plan to expand the DocuSign integration with ATS system to automate offer letters
  • Automation of paperwork ensures HR team can focus on the people rather than scanning and uploading signed documents
