We sat down with John Dawson, Head of Procurement, to find out how the company became a pioneer in the cloud arena with DocuSign as its electronic signature solution.
Q: How important is it for T-Systems to do business digitally?
I think we’re a pioneer in the cloud arena, but implementing digital solutions ourselves has been as challenging as it would be for our customers. Consequently, getting people to change and to use digital solutions is a challenge. However, it’s something that we have to do. It’s a market that we’re in, it’s something we have to promote to our customers and it’s a business model that’s evolving on a day-to-day basis. There are new services surfacing constantly. Keeping up the pace with our competitors is an on-going challenge.
Q: When you started looking at electronic signatures, what were the procurement challenges you were looking to solve?
It’s very simple: We were still signing paper documents; paper contracts, NDAs, and statements of work. It was an ongoing discussion with our compliance and legal department on whether we should implement an electronic signature tool. DocuSign came to my attention because of the work that’s already been done between DocuSign and our parent company, Deutsche Telekom.
Q: In terms of how you’re using eSignatures, is it stand-alone use within procurement or is it an integration?
It’s stand-alone use at the moment. We’ve only started our digital journey. I do something in the region of 15,000 transactions per year with suppliers, so that figure’s going to grow. I’ve introduced the concept of electronic signature to other areas of the business and they can’t wait to use it too. In fact, my HR department is starting to use DocuSign for their signatures. So we’re starting to grow the use of DocuSign within our business.
Q: How have your customers responded to you using electronic signatures?
Before, I was chasing customers with pieces of paper asking them to sign. Now, we just send them digitally so they get a notification via e-mail. They open up their document and they sign it. It therefore simplifies everything. It speeds up the process, makes the process more compliant and means we have a single copy of a contract. Whereas before, we had multiple copies of the same document doing the rounds in the business. Scanned paper copies.
Q: What ROI have you seen with DocuSign?
We’ve seen great value already using eSignatures. The transactions that took three or four days to complete are now taking two hours with DocuSign. We’re very early in the journey, but the signs are very positive.
