Why are you emailing documents into your DocuSign Transaction Rooms (DTR) inbox when you can send them directly into a specific Transaction Room?
Since the infancy of the Transaction Rooms product, we have allowed users to email document attachments to their DTR inbox via their inbound email address. We then added the ability to save the body of an email with the addition of the #PDF function, which you add to the subject line. What you may not know is that emailing documents into our system can be taken one step further with #RoomID.
Each Transaction Room is given an individual ID number. You can find this ID number in the upper left of each Transaction Room, as well as at the end of the URL in your browser.
This number can be utilized in two ways.
- Click the ID number and, if your email client is set up correctly, a new email window will pop up with your DTR inbox email address in the “To” field and the #RoomID in the subject line. You can then attach a document that you’d like to send to the Transaction Room.
- Any email attachment you’d like to send to a Transaction Room can be forwarded to your DTR inbound email address, and then you manually enter #RoomID (e.g. #242617) in the subject line.
An interesting example of how this feature can be used comes from one of our DTR brokerages, which scans in hundreds of documents a week. On their scanner, the team members have added their DTR inbound email address as an email recipient as well as the #RoomID number for whichever Transaction Room they’d like to send documents to within the subject line. They can edit this information on their scanner as needed. It makes adding hard copies of documents into a Transaction Room seamless.
For advanced users, not only can you send an attachment to a Transaction Room, but you can also send the body of an email to a Transaction Room within the same email. Just add #PDF next to the #RoomID, and both the attachment and the body of the email will be placed in the corresponding Transaction Room.
